  1. Performs smoothly and efficiently within the assigned tandem team with Sales Admin Assistant(s) with regard to the processing of Sales Orders (SOs).

  2. Performs credit check on all Sales Order (SOs) in the system prepared by the Sales Admin department in the SAP system.

  3. Provides notations on Sales Order Approvals (SOAPs) including outstanding accounts receivables (A/R), pending SOs and available credit pertaining to other divisions.

  4. Prints SO with notations and routes to C&C Supervisor/ Manager for review.

  5. Routes all HOLD SOs with credit issues to divisional General Manager for disposition; Routes all SOs with no credit issues for RELEASE to Sales Admin for further processing.

  6. Receives Sales Invoice (SI) (customer and C&C copies) from Accounting; Files SI in corresponding jacket and updates jacket accordingly.

  7. Retrieves SI customer copy from customer jacket and releases to sales agent during collection time as per itinerary schedule and logs the release of the SI to sales agent in the logbook per sales agent. (Timing: for FSRs – during the 1st week; for BDPS – daily)

  8. If Sales Agent is unable to collect and returns SI, re-files SI into the appropriate jacket and logs the receipt of the returned SI in the logbook.

  9. For collections by sales agent, receives customer payment and Collection Report (CRT) from sales agent and updates the customer jacket for collections.

  10. Receives FSR excess allowances during the 1st week of every month for inclusion in the CRT.

  11. For collections by C&C collector, receives collection and prepares Collection Report (CRT).

  12. Checks accuracy of CRT vs. collections and details of payment, e.g. check amount, check date, EWT, any discounts given, etc.; 

  13. Signs off on CRT and transmits CRT and collections to Treasurers.

  14. Reconciles short payments due to sales discounts, WHTax, etc., in accordance with C&C policies; Prepares immediately a TRF to Accounting to charge the corresponding sales agent for all short payments.

  15. Monitors and analyzes the ageing of trade and project A/Rs on a daily basis.

  16. Generates the A/R Ageing Report and all A/R-related reports on a regular basis (weekly/monthly) for circulation to sales and divisional management on a timely basis.

  17. Reconciles A/R accounts directly with customers as necessary.

  18. Prepares monthly customer Statement of Account (SOA) for circulation to sales agents to assist in A/R collection efforts.

  19. Prepares a demand letter if applicable upon advice of sales management.

  12. Responsible/ accountable for all goods loaded into the truck/van during transit up to the point of custody transfer to the customer.

  13. Responsible/ accountable for all monies/ checks received from the customer as collection for goods delivered up to the point of turnover to the Delivery Supervisor.

  14. Performs daily maintenance checks of the truck/van, e.g. battery, gas/oil, water, tire pressure, brake fluid, etc., before leaving the plant for his delivery route.

  15. Cleans the interior & exterior of the assigned truck daily – i.e. van, cab, engine – in accordance with the company’s housekeeping/ 5S procedures.

  16. Complies strictly with company policy relating to proper behavior & actions as well as proper dress code during their delivery duties. 

  17. Complies strictly with company policies regarding the use of company assets (e.g. cell phones, E-pass cards, etc.), tools in trucks/ vans, loading of gasoline, payment of toll fees, etc.

  18. Ensures the security of the truck, cargo and passengers at all times.

  19. Follows the assigned delivery route in the most direct and expeditious manner; minimizes idle time, non-productive time and overtime.

  20. Reports/coordinates immediately with the Delivery Supervisor in cases of backloads, loss/damage to cargo or any trucking incidents, e.g. truck breakdown, road accidents involving damage to truck or third-party property, injuries to truck passengers or third parties, or legal apprehension of truck and/or passengers.

  21. Assists the Motorpool mechanic, when required, during actual off-site rescue / repairs of delivery truck/van.

  22. Assists the Motorpool mechanic during the scheduled preventive maintenance (PM) check-up of the delivery truck/van.

  23. Guides, instructs and oversees the activities of the Truck Helper; Provides appropriate feedback to the Delivery Supervisor regarding the helper’s work performance.

  24. Complies strictly with the company’s policies and regulations regarding corporate governance, internal controls, employee code of conduct, safety, health & environment (SHE) as well as 5S/housekeeping & cleanliness.

  25. Complies strictly with the use by delivery personnel of required personal protective equipment (PPE).

  26. Complies strictly with all relevant government laws, executive orders and republic acts which impact delivery activities. 

  27. Complies strictly with departmental ISO 9001 procedures, guidelines and work instructions.


Qualifications:

  1. Minimum high school graduate

  2. Possesses professional driving license; certified to drive delivery trucks/ vans

  3. Restriction Code 1, 2, and 3

  4. Good working knowledge about land geography in areas of operation / delivery, particularly Metro Manila, North & South Luzon

  5. Physically fit; Good health and good eyesight; Can lift heavy loads

  6. Possesses a sense of maturity regarding road safety

  7. Work experience in performing multi-drop deliveries of similar products highly desirable

  8. Honest; Of high integrity and good moral character

  9. Flexible in work hours; can render overtime when necessary

  10. Fast thinker; adjusts well to situations

  1. Assists the Truck Driver in loading / securing / counting finished goods (FG) items/products for delivery to intended destinations.

  2. Assists the Truck Driver in unloading / counting FG items/products from the truck at the intended destinations.

  3. Assists the Truck Driver during travel on the road by guiding traffic during truck maneuvers such as backing-up, merging lanes, etc.

  4. Assists the Truck Driver in unloading / counting backloaded FG items/products from the truck for return to the FG warehouses.

  5. Complies with company policy relating to proper behavior & actions as well as proper dress code during delivery duties.

  6. Assists the Truck Driver in ensuring the security of the truck and cargo at all times.
